Early Data Assessment

The amount of data collected in discovery continues to grow at an exponential pace. The latest figures put the total amount of electronic data at 800,000 petabytes, soon expected to reach a zetabye, which is nearly half a million times all of the data in all U.S. academic libraries. The Library of Congress’ printed collection consists of a “mere” 10 terabytes of data. This trend is putting pressure on law firms and corporate counsel to find ways to reduce e-discovery costs. Litigation was always costly, but now can be cost prohibitive unless the data can be reduced to a manageable size before reviewing documents for responsiveness and privilege.
Envision Discovery provides a full range of leading edge solutions and techniques to eliminate irrelevant documents in a dataset and dramatically save your clients money on processing and review fees.
Early Data Assessment
Envision Discovery offers early data assessment technology options to our clients, significantly streamlining the review process and enabling clients to better manage their own document searches.
We’ve put attorneys back in the driver's seat by enabling attorneys to view and conduct their own iterative searches and develop optimum search criteria for identifying relevant documents. This is all done through our secure, web-based platform.
This process decreases the number of documents that need to be reviewed and reduces the volume of data that must be fully processed, thereby allowing for cost containment and predictable budgeting. This is especially helpful on larger legal matters, given that the review stage accounts for nearly 60% of the total e-discovery project cost.
Large datasets can be ready in seconds, instead of days, giving attorneys and litigation support staff access to sophisticated document analytics quickly. Our secure web-based platform offers features such as:
- Early visibility of the important documents
- Near immediate availability of any amount of data
- Allowing legal teams to run their own iterative searches
- E-mail Domain Analysis
- Simple and Complex Searching
- E-mail Thread Identification
- Visual Analytics
- Language Identification
- De-duplication and Near De-duplication
- Unlimited Users at no Additional Cost
- Full Native Export to any Linear Review Platform without Reprocessing
- 35+ Reports on the Project or Custodian Level
- Unicode Compliant
Culling Methods
Proper de-duplication and filtering technologies can dramatically save time and costs associated with electronic discovery. By deleting all duplicate documents and e-mails, you can reduce your data set thereby permitting a more manageable review process. After de-duplication, further culling techniques can be applied to filter metadata properties such as a document’s creation date or particular file-type restrictions. Critical to many cases, complex search queries can be derived to group and identify targeted information.
Objectively eliminating these documents not only reduces costly review time, but also lessens the amount of data for conversion or storage on hosting services, providing added savings. In fact, simply deduplicating and culling a data set reduces it by an average of 30%.
Envision Discovery filters down datasets using the following methods:
- System File removal / De-NISTing
- De-duplication
- across all documents in a case
- within a single custodian’s documents
- within a single or multiple sources, i.e. hard drives and backup tapes
- Near-Duplication: Identifying and grouping similar documents based on like content, i.e. multiple drafts of a contract in Microsoft Word
- Filters
- By Date, Custodian, File Type, etc.
- Keyword searches
- Identifying documents containing verbatim text
- Stemming and Fuzzy
- Including conjugations of keywords, and hits based on a threshold of character differences, compensating for misspellings or OCR inaccuracy
- Proximity
- Returns results if keywords occur within a specified number of words from each other
- Boolean
- Extending keyword searches by logically connecting terms
